We are looking for an Export Projects Co-Ordinator who will deliver customer satisfaction to export customers from receipt to fulfilment of their order and any after-sales support, such as quality and/or warranty-related issues. The fulfilment of these orders and requests must be in a timely, accurate and cost-effective manner.
DUTIES AND RESPONSIBILITIES
The Export Projects Co-Ordinator will be responsible for:
Developing relationships with customers/distributors to facilitate a better understanding of their requirements, assist with any problem resolution and realise any opportunities
Translating the customers’ requirements into a clear set of internal requirements or actions that can then follow through in an expedient manner whilst minimising any chance of error e.g. generating allocations for production to work to
Keeping the Export Sales Managers and Production Manager informed of any significant events or potential issues/opportunities
Identifying wherever a customer requirement is unlikely to be met and taking action to try and recover the shortfall/delay, escalating the matter within the business and if necessary communicating back to the customer
Liaising with customers to keep them informed of matters relating to their orders and deliveries, with for example letters of credit, issuing of export documents, expected dispatch dates, packaging requirements and pick-up arrangements
Working with the Commercial Department/Credit Control before production or dispatch of the products to ensure that the credit arrangements are adhered to e.g. payment on order, payment before works start, no dispatch without the credit controller’s approval
Following defined CRM processes and keeping CRM updated
Progressing any warranty and product returns by following the company procedures
Ensuring that the customer is always made aware of the delivery promise dates.
Organising customer deliveries, packing and freight when required and highlighting any costs over the original estimated cost that were not included in the quotation
Generating relevant commercial export shipping documents
Obtaining evidence of export and associated documents to satisfy HM Customs and VAT audit requirements
Dealing with customer complaints in an efficient timely manner
Deputise for the Export Projects Manager in their absence
